Below are answers to frequently asked questions about sponsoring the National Training Federation for Wales Conference. If you have a question that is not covered below, please contact events@ntfw.org or telephone 07425 621709

How many people can I expect to attend the Conference?

We expect there to be 150+ people attending the conference.

Where and when does the Conference exhibition take place?

The exhibition takes place in the same area as where the refreshments and lunch will be served. Delegates will have the opportunity to visit the exhibitor stands during registration, morning and afternoon breaks and during lunch.

Is wireless internet (wi-fi) available at the venue?

Wi-fi is available at ICC Wales. You will need to register by inputting your email address.

I have booked an exhibition space. What is included in this option?

We will provide exhibition space only. There won’t be any shell scheme or fascia, so please bring your roll-up banner(s) etc. with you. Your exhibition space will be equipped with the following:

  • 1 table (1.8m/6ft)
  • 2 electrical sockets, if requested
  • Chairs are available, if requested

Unloading and loading vehicles for exhibitors

You will be able to load and unload your vehicle near the entrance of the building. You will then have to park your car in a designated parking bay.

What time should my exhibition space be ready for set up?

You may arrive and begin setting up at 7.30am on the day of the conference but please have your area setup with at least one representative on the stand, no later than 9.0am.

The National Training Federation for Wales does not take any responsibility for any items left at your exhibition space.

When should I arrange to have a representative in the exhibitor’s area to interact with conference attendees?

To get the most from your sponsorship, we recommend having at least one representative during the times that are set aside for conference attendees to visit exhibits, which are during registration, morning and afternoon break and during lunch.

Can I and/or other representatives attend the conference sessions?

Yes, we encourage your company to participate in the whole conference which is why we include free places at the conference in your sponsorship package.
Depending on your sponsorship level and the number of people you would like to attend, registration and other fees may apply.

Breakdown times of exhibition stand?

Breakdown time commences at 4.15pm, when the conference ends. All stands must be taken down and all materials removed from the venue by 6.0pm on the day of the conference.

Delegate bag leaflets – When and where do I need to send these?

Please send 200 copies of your leaflet to the address below no later than Thursday 7 March 2024, any unused leaflets will be returned to you on the day of the conference.

Where should I deliver exhibition materials?

Where can I stay while I am at the conference?

All of our conferences take place at either a convention centre that has a hotel attached, or within close proximity to a hotel. If you are interested in staying before, during or after a conference, go to The Celtic Collection, Newport or Visit Wales to find accommodation in the area.

Do I need to register for the Conference as a sponsor?

No, once your sponsorship has been confirmed you will liaise directly with the Sponsorship Team.

Should additional representatives register or will we be sent an invoice?

No, please liaise with the Events Team if you would like to bring along additional members of staff. An invoice will then be sent for any additional representatives

How do I register to be a sponsor?

Please contact Karen Smith detailing the sponsorship package you are interested in. If you can’t see a package to suit you, please contact us and we will try and accommodate your needs.
